Booking Terms

These terms are designed to be fair to both sides. They protect dates we hold for your group, and they give you flexibility when you plan ahead.

For Retreat Leaders Renting the Property

Reserving Your Dates

Your dates are held once you sign the rental agreement and pay a 50% deposit of the property rental.
The remaining balance is due 60 days before arrival. If you book within 60 days of arrival, full payment is due when you sign.
Your final headcount and any add-on services (such as additional practitioners, excursions, or shuttle service) are due 30 days before arrival and are invoiced separately.
A refundable security deposit of $[amount] is due with your final payment. It is returned within 14 days after departure, minus any charges for damage or extra cleaning.

If You Need to Cancel

120 days or more before arrival: your deposit is refunded minus a $250 administrative fee. Or you can move the full deposit once to new dates within 12 months.
60 to 119 days before arrival: your deposit is non-refundable, but 50% of it can be applied once to new dates within 12 months.
Fewer than 60 days before arrival: all payments are non-refundable. If we’re able to rebook your dates with another group, we’ll refund what we recover, minus the $250 administrative fee.

All cancellations must be made in writing by email.

A smaller group does not reduce the property rental. Charges for add-on services are adjusted if you tell us at least 30 days before arrival.

Retreat leaders are responsible for their own participants’ registration, payment, and refund policies.

If We Need to Cancel

If we must cancel because of wildfire, a forest closure, severe weather, or another event outside our control that makes the property unsafe or inaccessible, you may choose either a full refund of everything you’ve paid or new dates within 12 months. We are not responsible for travel costs, so we strongly recommend that leaders and participants buy travel insurance.

House Agreements

Exclusive use for your group only. Overnight guests are limited to the headcount in your agreement.
Alamitos Canyon is a substance-free property: no alcohol, drugs, cannabis, tobacco, or vaping of any kind, including nicotine.
Fires are allowed only in the fire circle, and only when fire restrictions permit.
Before arrival, every participant completes the K‘AK‘ORA Life Society membership application, the acknowledgement, and the medical and emergency contact form.

For Individuals Joining a Retreat Hosted by Alamitos Canyon

60 days or more before the retreat: full refund minus a $100 processing fee, or a transfer to a future retreat.
30 to 59 days before the retreat: 50% refund, or full credit toward a future retreat within 12 months.
Fewer than 30 days before the retreat: no refund. You may transfer your place to another person, who must complete the membership forms.

If Alamitos Canyon cancels a hosted retreat, participants receive a full refund.
